Job Description

Job Title: Foundation amp; Trips Administrator

Contract type: Permanent

Hours of Work: 37.5 hours per week, 52 weeks per year

Salary: 25,000 depending upon experience

The Role

To ensure that the financial side of boarding amp; staff trips and visits are well controlled and managed in accordance with finance regulations and school polices.

To manage the staff accommodation process strategically and efficiently.

To provide support and cover for the reception and administrative support through undertaking tasks which require some generalist knowledge and skills, as well as assisting the EA to the Bursar in the day to day running of the Office.

This is a varied and busy role requiring a lot of autonomy regarding scheduling and work load.

Key Responsibilities

• Support the front to back process for boarders and staff trips; including (but not limited to);

ensuring full costings have been completed, advertising amp; setting up on Wisepay; dealing with

payments and queries, making payments.

• Ordering and reclaims for Foundationers and MOD.

• To drive the transition to a paperless office by assisting with reviewing current filing and archiving.

• Complete overhaul of estates key, card and code system.

• Manage the staff accommodation process, including (but not limited to) liaison with key

stakeholders and the residential members of staff, ensuring the condition is periodically reviewed

and an appropriate scheme of maintenance is in place, the redesign of the policy and review and

update of the license to occupy.

• Act as the point of contact for the administration of external hires.

• To contribute to the smooth running of the reception and office.

• To be aware of and comply with policies and procedures relating to child protection, health, safety

and security and confidentiality, reporting all concerns to an appropriate person.

• To contribute to the overall ethos and aims of the School.

• Any other duties commensurate with the duties/responsibilities/grade of the post.

Person Specification

  • Display high standards of customer service whilst multi-tasking and under pressure
  • IT competent, able to research and implement new electronic systems and/or ways of working where appropriate
  • A good working knowledge of key Microsoft office and Google applications
  • Excellent organisational skills and attention to detail
  • Self-starter
  • Confident to challenge the status quo, developing and implementing solutions
  • Champion of continuous improvement, especially in process redesign
