About the role

As a newly created People and Development team, we are building the foundations to support our colleagues and the business as it begins its strategic growth plan. The Coordinator will be the first point of contact for all general People queries and will play a key role in delivering an outstanding service to everyone at FMTS ensuring all administration and processes are managed in an accurate and timely manner. As it’s a new function, we’ll also need you to create and implement some of those processes too!

Reporting to the People Operations Manager, the role is offered as hybrid working with two days a week in the Birmingham Office. The role will also support our small but growing group of international employees in the US and APAC. We need a team player who thrives in a fast-paced, high-volume and dynamic environment, works well under pressure, has exceptional attention to detail and strong prioritisation skills.

As our HR Coordinator, you will be:

  • Maintaining timely management of the team inbox and seamless execution of all administrative processes, including payroll
  • Acting as the first point of contact for all general People queries, responding in a timely and approachable manner
  • Taking full ownership of maintaining our People systems (BambooHR, PluralSight, Eloomi, our ATS, Stribe etc) and employee files and spreadsheets, ensuring accurate and timely changes to employee information
  • Conducting regular audits of our People data to ensure accuracy; supporting the People Operations Manager in implementing improvements to eliminate manual processes and enhance data integrity
  • Generating paperwork across the employee lifecycle, including employment contracts and offer letters, role changes and leavers documentation
  • Supporting and delivering a full onboarding process both within the UK and internationally including reference requests, right-to-work checks, coordinating inductions and processing all new starter paperwork. Setting up and issuing reports on onboarding and offboarding surveys. Coordinating monthly colleague inductions, working with People Operations Manager to design and deliver welcome and information packs, with a key focus on colleague experience
  • Working closely with the People Operations Manager to keep people policies and processes updated, and in line with legislation
  • Providing monthly and ad-hoc reports and analysis to inform Finance, Senior Management and Board reporting
  • Supporting the set up and co-ordination of EDamp;I initiatives and events throughout the year
  • Supporting the maintenance, review and launch of colleague benefits
  • Supporting with recruitment and selection activities when required

Requirements

To be set up for success in this role, you will:

  • Prior experience in a high-volume and fast-paced administrative function. Experience / exposure operating within a lean and fast-paced People team would be advantageous
  • Highly organised and conscientious with an exceptional attention to detail
  • Excellent interpersonal, written and verbal communication skills
  • Adept in the effective prioritisation of workload; with the ability to context shift across a range of People processes, systems and tasks and work in a fast-paced environment, whilst delivering to agreed deadlines
  • Good knowledge of Microsoft Office and Google Suite, especially Microsoft Excel
  • A high regard for accuracy and confidentiality in handling a wide range of People data (including sensitive and personal information)
  • Resourceful; using initiative to apply known methodologies and seek out new information to find the answers and resolve People queries and tasks
  • A collaborative, supportive and inclusive team player who can work cross functionally across the People team and wider business
  • Results-driven, curious, keen to learn, and always looking to improve
