The People Operations Coordinator amp; Office Manager will provide operational and administrative support on all HR processes. You will be the first point of contact for employees in the UK, Netherlands, Australia, Singapore, and our remote workers in the EMEA amp; APAC region. You will also be the key contact for all office-related queries and matters in our London office. People Operations Coordinator Duties

  • Assist managers and employees with company processes, HR-related concerns, inquiries, and general support onsite and in a virtual environment.
  • Manage candidates through the onboarding process including the completion of new hire paperwork, facilitating new starter orientations and collating new employee feedback
  • Work with the People Operations Team, supporting them with all HR processes in the employee lifecycle
  • Process new joiners, leavers, employee changes, and transfers, completing all required documentation and system updates
  • Manage and own the end-to-end payroll process for designated countries in EMEA (full training given)
  • Contribute to the continuous improvement of initiatives for the employees life cycle and ad-hoc projects
  • Monitor the HR shared inbox, ensuring tasks are actioned in a timely manner, using judgement to escalate employee relations or sensitive issues
  • Ensure the HR information system and files are updated promptly to ensure data integrity
  • Assist and coordinate company events, including but not limited to holiday parties, office events, team building and new hire training.

Office Management Duties

  • Taking ownership of local contracts, the office lease, supplies, stationaries, and food/drinks deliveries. This will also include office equipment (printer lease), provide equipment for relevant WFH arrangements, and maintain their required budgets.
  • Handle post and any postage/courier inquiries.
  • Keeping up to date Health amp; Safety standards for the office.
  • Support benefits renewals
  • Support the invoicing process for the region
  • Proven experience as an HR coordinator or relevant human resources/administrative position

Preferred Qualifications

  • Minimum 2 years experience in HR
  • Knowledge of human resources processes and best practices
  • Experience with HR databases and HRIS systems (e.g. HiBob)
  • Outstanding communication and interpersonal skills
  • Ability to handle data with confidentiality
  • Good organizational and time management skills
  • BSc/BA in Business Administration or relevant field; additional education in Human Resource Management will be a plus
