Job Description

At Energy Aspects, our talented people and teams are at the core of our success. We are seeking a talented Onboarding Specialist to join our team and provide new hires with a stellar introduction to our company.

In this newly created role, you will spearhead onboarding processes to ensure each new team member, across the entire organisation, feels welcomed, supported, and equipped to thrive in their role. Your responsibilities include managing and enhancing our onboarding programs so that they can scale smoothly amid growth. You will collaborate cross-functionally to deliver a comprehensive, consistent experience that excites and motivates new hires.

To excel in this position, you should be naturally motivated to champion the onboarding experience. We need someone passionate about equipping colleagues with the tools, connections, and knowledge to hit the ground running. You will employ empathy, organisation, and communication skills to help new hires feel at home. This role requires some flexibility to occasionally work outside core hours in order to support new joiners in distant time zones.

Requirements

Duties and Responsibilities:

You'll be working in close partnership with our Head of Learning and Development, HR and functional teams in order to shape, develop and deliver a world class onboarding process. As our Onboarding Specialist, your collaborative and empathetic approach will create an environment where new hires feel valued and empowered to thrive. Overtime, your day-to-day role will include:

  • Designing and implementing onboarding processes, schedules, plans, and materials tailored to each role and location, including remote teams. (This includes checklists, handbooks, welcome kits, business cards, and introductory presentations).
  • Oversee new hire onboarding across the company to ensure a consistent, positive experience.
  • Facilitate orientation sessions and coordinate access to the systems, tools, and training needed for a new joiner to be productive.
  • Assign mentors to provide new hires access to key information, meetings, and networking opportunities within their department.
  • Educate new hires on company policies, procedures, norms, and guidelines.
  • Arrange office tours and introduce new hires to team members to aid socialisation.
  • Schedule 1:1 check-ins with all new joiners, providing a listening ear, support, and feedback during their onboarding phase.
  • Work alongside line managers to establish 30-, 60-, and 90-day plans, ensuring a smooth transition. Coordinate with the HR Manager to offer additional support to those who might need a little extra help settling in.
  • Address new hires ad-hoc queries or concerns.
  • Champion a welcoming culture where new employees feel valued, connected, and set up for success.
  • Forge strong relationships across all departments, understanding their unique needs, and ensuring that onboarding experiences are holistic and consistent.
  • Regularly gather feedback, keeping an ear to the ground, and adapting our onboarding processes to be in tune with evolving company needs and industry trends.
  • With line managers, equipping new hires with a robust understanding of their role, department, and how they fit into the larger company vision.


About You:

  • Minimum 2 years’ experience as an onboarding specialist.
  • Excellent interpersonal skills and flair for interacting with people to ensure employee well-being.
  • Knowledge of HR practices and basic employment legislation.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Excellent organisational skills and good planning capabilities.
  • Proficient in MS Office and collaboration tools.
