Job Description

Our centralised Corporate Support function plays a vital role in the seamless operation of Energy Aspects, providing support globally to our business. From Marketing and Office operations to Finance and People, this dynamic team offers a range of training and certification opportunities. They also facilitate employee-owned initiatives, ensuring daily exposure to all aspects of our rapidly-growing business, including direct interaction with senior leadership.

At Energy Aspects, we require candidates who possess versatility and the capability to navigate various disciplines, even when faced with unfamiliar challenges. You should have a professional demeanour and be comfortable interacting with senior managers and customers, both in person and over the phone. Exceptional organisational and administrative skills are essential, along with a proactive attitude and the ability to effectively manage multiple tasks simultaneously.

Requirements

Duties

  • Registering and greeting visitors, clients and visiting employees with a friendly demeanour. Directing and announcing them appropriately to EA colleagues
  • Manage the front desk and ensure a professional, tidy, and friendly environment.
  • Managing and coordinating meeting room bookings, including setting up furniture and AV equipment as per meeting requirements and tidying up afterwards.
  • Handling incoming phone calls, screening and forwarding them to the relevant individuals.
  • Assisting in organising internal company events or meetings including the arrangement of catering services if required (including occasionally outside of core business hours)
  • Vendor management who handles our refreshments and cleaning products
  • Assist with budget management by tracking office supplies or maintenance expenses.Coordinate office maintenance activities such as repairs or equipment servicing when necessaryMaintain office security by overseeing the management of staff access badges
  • Provide support for health and safety initiatives, ensuring that all employees adhere to established safety protocols and proceduresAct as a champion for sustainability and recycling efforts within the office, promoting environmentally responsible practicesCollaborate with cleaning staff to ensure the cleanliness and hygiene of the workplace


Requirements

  • Previous experience managing a reception
  • Fluent in English with polished communication skills
  • Strong ability to multi-task and excellent organisation skills
  • Natural ability to build rapport with both visitors and staff members at all levels
  • Ability to communicate and negotiate with vendors and suppliers.
  • Attention to detail and problem-solving skills when confronted with challenges
  • Proven ability to work autonomously as well as working alongside a team
  • Strong interest in process improvement - finding ways to make operations more efficient and streamlined.
  • Adapts well to and embraces change.
  • Sound understanding of IT hardware amp; systems.
  • Proficiency in Microsoft Excel, Word, and Outlook and capacity to learn new systems.
