Job Description

This role provides comprehensive administrative support to the HR Department and Talent Director to support the candidate/employee lifecycle. The role supports keeping our hiring process and onboarding smooth and ensures that candidates and employees receive exceptional experiences.

Responsibilities

  • Support the HR Advisor with onboarding of new staff
  • Liaise with each office responsible person and line managers to arrange new starter kits (e.g.; allocating office lockers, keys, fobs and office inductions)
  • Preparing new starter equipment including asset management, IT set up and onboarding information and paperwork
  • Supporting inductions including first day arrangements and systems training
  • Support the HR advisor with offboarding staff (arranging system close down and IT equipment and phone return and redistribution and updating asset trackers)
  • Support with maintaining the employee and recruitment databases (setting up new starters, processing leavers)
  • Own the scheduling process and communicate logistics to candidates and hiring team.
  • Organise a high volume of interviews across regions and ensure they run smoothly and feedback is provided promptly.
  • Maintain our ATS and ensure data is accurate (e.g. resumes, assignments and contact details)
  • Maintain job ads and ensure consistency on employer branding
  • Prepare reports on new hire metrics (e.g. time-to-fill, time-to-hire and source of hire)
  • Assist in crafting engaging job descriptions, develop content for candidates
  • Provide an exceptional candidate experience, create surveys and analyse feedback
  • Provide absence cover for HR and Talent colleagues
  • Support the HR Advisor, HR Director and Talent Director on ad-hoc projects and any other duties as required
  • Endeavour to improve our social and environmental impact
  • Any other duties as reasonably required.

Requirements

  • Experience in a similar role
  • You’re a ‘people-person’ with excellent communication skills, and able to work effectively with colleagues and candidates at all levels
  • Highly organised, with excellent ability to multi-task and adapt to priorities
  • Naturally curious and fast learner, with a strong sense of urgency
  • Critical and creative thinker, able to identify new and innovative ways to improve the way we do things
  • Self-starter, not afraid to get into the details and execution
  • Experience with working on systems or database
  • Experience of using Microsoft Office and IT equipment
