Responsibilities

We see this role playing an important part in both office coordination and the HR function, making this opportunity a great fit for someone proactive, organised and people-centric.

HR

  • Being the first line of contact for staff with HR related queries
  • HR administration
  • Creating HR communications
  • Supporting the wider HR team with administration (including critical processes such as payroll)
  • Taking meeting minutes
  • Coordinating the HR calendar
  • Preparing letters and other HR documentation

Office Coordination

  • Being the first point of contact for greeting Grayce visitors and analysts
  • Taking a leading role in coordinating desk and room bookings
  • Maintaining the key supplies to ensure the smooth running of the office; equipment, stationery, passes etc.
  • Maintaining clear and tidy office space
  • Supporting staff with catering and travel booking

Qualifications, Skills and Competencies

  • HR Qualification: While not essential, having a CIPD Level 3 qualification, or willingness to work towards, would be advantageous.
  • Microsoft Suite and Excel Proficiency: Strong knowledge of Microsoft Suite, with intermediate Excel skills.
  • Relationship Building: You excel at establishing and maintaining strong working relationships, both within the company and with external partners.
  • Task Prioritisation: You have a knack for prioritising tasks effectively, even when faced with tight and conflicting deadlines.
  • Organisational Proficiency: Your organisational skills are top-notch. You maintain order and structure whilst streamlining operations and enhancing overall efficiency.
  • Communication skills: You have strong verbal and written communication skills and are able to think on feet to solve problems.
