Job Description

Operations Administrator

Based: High Wycombe / Hybrid3 days per week in the office
Term: Contract, Full time
Salary: Up to 25,000 pa

The Role:

As an Operations Administrator at Focusrite, you will play an important role in managing and optimizing various aspects of our global operations, helping to make the flow of goods functions smoothly and that global demand for products is fulfilled. This includes maintaining orders with our manufacturers, stock and parts inventory, and communication channels. The successful candidate will be responsible for maintaining accurate records, facilitating seamless intercompany processes.

Reporting to the Demand Planning Manager, we anticipate this contract role to last approximately 12 months.Start date: January 2024.

Key responsibilities include:

Orderbook Management:

  • Update and maintain our manufacturing forecasts with real time data.
  • Manage and update purchase orders, ensuring accuracy and adherence to pricing guidelines.
  • Align pricing strategies and maintain consistency across all orders.
  • Maintain phases of the product lifecycle, from conception through to EOL.

Manufacturing Support:

  • Address and resolve manufacturing queries efficiently.

Communication and Documentation:

  • Manage the general inbox, handling email traffic related to operations, responding to and helping solve queries that arise.
  • Create and manage shipment references (SRs).

Inventory Management:

  • Receive and process item receipts and goods receipts for products arriving at warehouses.
  • Facilitate inventory transfers and adjustments, including intercompany transfers.
  • Manage rework requests with (3rd party warehouses).
  • Handle Service Centre transfers end to end.
  • Manage trade-ins, including email communication and arranging returns.
  • Back-up and support team members during absences and/or heavy volume times.

SKU Management:

  • Create new SKUs in NetSuite (ERP system) and update existing SKUs as necessary.

Intercompany Processes:

  • Coordinate and execute intercompany processes for purchase orders, item receipts, and transfer orders.

Knowledge, skills and abilities required:

  • For this entry-level role we welcome applications from people looking for their first position or candidates with some existing administration experience
  • Able to evaluate current processes and ways of working and identify and implement improvements.
  • Strong written and verbal comms required.
  • Good interpersonal skills: able to work effectively with those in sphere of interactions.
  • Ideally a competent excel user, including use of formulas and amalgamating data from multiple sources and systems to conduct analysis with a high degree of accuracy.
