Job Description

Position: HR Administrative Assistant

Location: Hybrid - Minimum 2 days a week in our Thornhill, Dumfries office.

Salary: Up to 27,000, dependant on experience

Contract: Full-Time, Permanent

This is a great opportunity to join an expanding HR team within a fantastic humanitarian organisation. You will play a key role in providing administrative support to the Human Resources team, both here in the UK and internationally.

About the role

Due to our continued growth we are excited to be recruiting for the role of HR Administrative Assistant on a permanent basis here at The HALO Trust.

Reporting to the People Services Manager, this is an opportunity for you to be at the heart of bringing HALO’s mission to life, and we are looking for someone with a strong work ethic, who possesses the ability to work at pace in an ever-changing environment.

Key Responsibilities:

  • Monitoring of the HR mailbox, ensuring that all queries are dealt with in a timely and courteous manner.
  • Maintaining the HR database, ensuring that it is accurate and complies with current legislative requirements.
  • Taking charge of the leaver’s process, including offboarding, exit interviews and the collating of feedback for the HR team.
  • Producing and distributing all employment documents, as well as maintaining the staff organisation chart.
  • Maintaining insurance data, liaising with the insurance broker and dealing with insurance claims.
  • Providing proactive HR advice on HALO policies and procedures as required, within the realms of expertise.
  • Supporting the Director of HR with the implementation of a high-performance employee culture, including assisting with employee relations, sickness/absence and disciplinary actions.
  • Analysing data, tracking trends and reporting findings to the People Service Manager.
  • Delivering the induction process for all new staff and managing The Halo Trust intranet.
  • Ensuring the payroll database is updated as required.

Requirements

  • Previous HR experience would be beneficial, but we are also interested in hearing from people from all backgrounds who have a genuine passion for Human Resources.
  • Excellent IT skills are essential.
  • Excellent communication skills, both written and verbal.
  • Experience of working in a fast-paced environment, preferably office based.
  • Demonstrable problem solving skills.
  • Excellent organisational skills.
  • Self-motivated, with the ability to work autonomously with little supervision.
  • Strong work ethic and a positive attitude.
