About Free2Learn

Free2Learn (F2L) is a rapidly expanding and vibrant company that provides free funded training courses for jobseekers giving them the opportunity to enhance their knowledge, develop their skills and gain qualifications in a wide variety of industries.

Role Purpose

To cover both front of house and administration services. You will be supporting in dealing with enquiries made in person, online, on the phone and via email, therefore playing a vital role in recruiting learners and helping them enrol on the right courses. You will be working with Learner services ensuring that learners are aware of programmes, providing information about course starts, progression and pathways. You will display a professional image at all times, be motivated to provide excellent customer service, with excellent communication and interpersonal skills. You will also have good IT skills and be comfortable managing a varied workload under time constraints.

Key Tasks and Responsibilities

· To provide a professional image at all times, including excellent customer service and care to learners and both internal and external colleagues

· To act as first point of contact for all telephone and online chat enquiries, messages and visitors to the office.

· To provide learners and the public with accurate and up to date information on courses and pathways

· To provide a first line response to learner feedback, sign posting learners to relevant policies and procedures as required and ensuring that learners feel confident that their views and needs have been taken seriously.

· To maintain database systems within the Learner Services department.

· To support with administration of all pathway programmes being delivered to meet the needs of employers.

· To support with the set up of registers at the start of the course ensuring all taught sessions have a tutor allocated and that tutors can access registers.

· To maintain an awareness of the courses run and of the timetables and contact details of tutors in order to answer queries; liaise effectively with all those who communicate within the company.

· To carry out a range of administrative tasks including post duties, creating agendas, taking minutes of meetings and photocopying.

· Work flexibly to provide appropriate cover as needed.

· Prepared to be Fire Marshal and or First Aider.

Person Specification

· Good general education up to Level 2 in English

· A high level of IT skills either with a formal qualification or through on the job experience.

· Knowledge of office administration including the effective maintenance of paper and electronic data systems.

· Proven computer literacy in using standard office software applications such as Microsoft Office suite especially Outlook, Work and excel and confidence in using databases and the internet to research information.

· The ability to work effectively as part of a team, share tasks and responsibilities with other members of the team and work on own initiative.

· A good standard of written English and confident and effective oral communication skills with an ability to communicate effectively and sensitively with people with differing abilities, backgrounds and experiences.

· Experience of providing excellent customer service to a range of internal and external customers, with good interpersonal skills.

· Excellent time management skills and the ability to organise and prioritise work demands to meet tight deadlines whilst maintaining accuracy.

· Experience of working in an education environment.

· Experience of giving information, advice and guidance to clients in a professional setting

· The ability to interpret regulations and procedures and to provide clear advice to enquirers.

· Experience of liaising with a range of staff across an organisation and working with external stakeholders and partners.

· Independent thinker, self-motivated who is pro-active shows initiative and works well under pressure.
