As we continue to grow and explore new areas of research an exciting opportunity has arisen to join our talented team as a Research Grants and Finance Officer. In this newly created role, you will assist our Director Research Operations in ensuring the efficient administration of Phasecraft’s grant related activities. The ideal candidate will also assist with financial reporting and general accounting duties across the company.
Job Description
- Support the management and reporting of externally funded research projects including:
- Preparation of regular reports to Funders, with input from Director - Research Operations and Technical leads
- Management of the regular financial reporting to Funders, including:
- Generating timesheets, coordinating with team members to complete timesheets and uploading on to the system.
- Collating the necessary financial documents (including invoices for costs such as travel and subsistence, materials, etc) for claims and reporting
- Timely submission of necessary information onto the Funders’ systems
- Coordination of the audit processes, including collating necessary documents for review
- Managing Funder queries, escalating more complex requests as needed
- Arrange and co-ordinate regular review meetings with Funders, stakeholders and partners.
- Assist with pre-award administration for standard funders, including costing and submission on the Funders’ systems
- Assist with organizing and running research workshops and events (venue search and booking, registration, support on event day, note taking etc).
- General accounting and bookkeeping duties including the management of expenses and ensuring invoices are collated for month/year end reporting.
- Assisting with financial reporting, managing the process for producing management accounts and developing reports for board and investors.
Phasecraft operates a hybrid working pattern and this role can be based either in Bristol or London, depending on the candidate.
Requirements
Essential criteria:
- Experience in a grant administration or finance role.
- Able to systematically gather and effectively utilise information from multiple sources.
- Able to manage time effectively including managing competing demands, prioritising tasks, and meeting deadlines.
- Excellent attention to detail and meticulous record keeping.
- Delivery focus and ability to identify opportunities for improved efficiencies and processes.
- Experience of managing budgets and preparing financial reports.
- Flexibility to work on other tasks required to support the growth and success of the company.
- Excellent communication skills.
- Maintains a high degree of discretion and confidentiality.
- Ability to quickly integrate and apply new knowledge.
Desirable criteria:
- Familiarity with research funding requirements and processes, and in particular with Innovate UK or EU Funding Programmes
