We are currently seeking a talented individual like you to become a vital part of our vibrant team as an HR Coordinator. As the chosen candidate, you will have the opportunity of reporting directly to our People Director, providing you with valuable mentorship and guidance along the way.

What you’ll do

The HR Coordinator role is focused on providing support for a range of HR activities and transactional tasks. This includes HR administration, recruitment assistance, onboarding, and HRIS. We are looking for someone who can assist with various aspects of the employee lifecycle, as well as handle administrative tasks to ensure compliance with employment contracts, HR policies, organisational regulations, data protection guidelines, and statutory requirements.

  • Collaborating closely with hiring managers, recruiters, and other stakeholders, as well as with the People Business Partner (PBP) to schedule interviews, coordinate meetings, greet candidates, and update the Workable recruitment system accordingly.
  • Managing the process of sending, receiving, storing, and logging 'pre-employment checks consent forms' from applicants, promptly notifying the People Director and PBP of any issues.
  • Retrieve and organise the 'recruitment record' of successful candidates from Workable, properly archiving them in the staff file/folder.
  • Maintain up-to-date digital copies of employees' records, ensuring all employee information is accurately stored in their staff file/folder, system records, etc.
  • Provide administrative support for the new hire process by updating both the Recruitment and HR systems.
  • Coordinating the onboarding process for new employees in collaboration with PBP. This includes scheduling induction sessions and mandatory training, as well as providing staff with all necessary information in alignment with organisational policies and procedures.
  • Scheduling training sessions for staff, whether conducted internally or externally, and facilitating communication between internal or external stakeholders. If needed, updating the e-learning system accordingly.
  • Providing support for both internal and external HR inquiries, such as handling reference requests and monitoring the HR inbox.

Requirements

    • CIPD Membership qualification or working towards (or equivalent)
    • Experience supporting recruitment and selection activities
      • Hands-on experience with various selection processes (including video interviewing, phone interviewing, reference checks, etc.)
      • Working knowledge of Applicant Tracking Systems, preferably Workable
    • Experience using HRIS (HiBob is advantageous) in an HR system administrator capacity
      • Developing workflows and generating reports using HRIS processes
      • Updating records and providing advice on system use
    • Excellent networking, communication, and interpersonal skills
    • Knowledge of the Russian language is advantageous
    • Please note that we currently have hybrid working arrangements, requiring employees to work from our London office at least 2-3 days per week.
