Job Description

We are looking for a Project Administration Support to perform a variety of administrative tasks and support the smooth operations of the ETC team on a part-time position.

The Project Administration Support’s responsibilities will include meeting scheduling, managing event logistics, raising purchase orders, and preparing batch emails. To be successful in this role, you should be well-organized, detail-orientated, have great time management skills and be able to act without guidance.


Diary management and scheduling

  • Set up and maintain calendar invitations for workshops with multiple external parties
  • Supporting meeting scheduling, often across multiple parties, working closely with other administration staff and with the ETC team
  • Act as the point of contact among regional ETC teams, member organisations, and other external partners

Project management office administration

  • Format information for internal and external communication memos, emails, presentations, reports, including processing and personalising batch emails
  • Maintaining ETC core assets, updating as required
  • Developing ad hoc documents needed to support engagements (e.g. letters, forms)
  • Note-taking in key meetings

Financial administration

  • Raising purchase orders across the team
  • Processing and monitoring expenses, recording expenses and other costs in budgets
  • Coordinate administrated elements of contracting process, including liaise with external finance

Event amp; meeting logistics

  • Sourcing and liaising with venues for meetings and events
  • Organising and testing tech at the venues for presentations and videoconferencing


Essential qualities

  • Experience as an Executive Assistant, Personal Assistant, Administrative assistant, or similar role
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Detail-orientated and accurate
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Collaborative team player


  • Financial, budget and programme management administration experience
  • Experience interacting with senior executives
  • Experience working in a collaborative organisation (e.g. coalitions / partnerships)
  • Experience working in a fast-paced environment with changing priorities
  • Familiarity with office applications (e.g. e-calendars, online platforms such as Teams and Zoom)
Proficiency in Chinese, French or German
