Role Purpose:
Ensuring service levels and minimising business loss to reflect our client’s changing needs and requirements. Build positive relationships with our staff amp; management by maintaining regular contact through ongoing communications. Oversee the day to day scheduling of the UCL contracts and ensuring contractual and non-contractual hours are delivered.
Role Requirements:
Pay: 13.12 per hour
Hours: 42 hours per week (4 On 4 Off Days only including and Weekends and Bank Holidays)
Objectives:
- In co-operation with the Account Manager, Assistant Security Manager and duty Shift Manager, to provide a welcoming and efficient service to our customers and staff.
- To deliver the highest standards of technical ability, management skills and customer relations, appropriate to the needs of the business.
- To ensure that the security operations complies with Health and Safety requirements, and to contribute to the Health amp; Safety operation.
- To deliver the vision and standards set out by Axis Security Mission Statement as detailed in the Integrated Management System.
- Work closely with the Account Manager, Assistant Manager and duty Shift Manager and London Scheduling Centre Team.
Person Specification:
- Personal presentation to a high standard at all times.
- Extensive experience in scheduling and operate Time-Gate efficiently
- Previous control room within a professional organisation, preferably in the security industry.
- Good communication skills the ability to communicate clearly and logically with the client and staff.
- Appreciation of the need for safe working practices, with the ability to implement Company policy and procedure and ensure it is adhered to at all times.
- Demonstrate organisational skills and evidence the ability to plan, prioritise and meet deadlines.
- Ability to identify and implement the most effective methods of scheduling the contract, i.e. staffing levels / training needs, etc.
- Capable of completing administration functions accurately and maintaining complete and up to date records in line with the Integrated Management System.
Specific responsibilities:
- Monthly scheduling for all UCL sites across London.
- Scheduling contractual and non-contractual hours
- Work closely with the Contract Management Team in managing the holiday system.
- Any operational shortfalls in manning for sites, action as a priority, liaising with site or personnel to cover gap shortages.
- Advise the duty Shift Manager, Assistant Security Manager and Account Manager of site’s affected if shortfalls in manning occur and seek approval if an untrained officer is required to cover.
- Throughout the day respond in a professional manner and action any phone messages, queries or requests received from client or site personnel.
- Action any email requests or queries received both internally and externally throughout the day.
- Liaise with the LSC Team to advise of any resource issues that cannot be resolved locally.
- Carry out weekly checks of all sites to ensure the correct details and rate has been inputted for each duty and officer.
- Carry out the necessary arbitrations every 48hrs across the UCL site cards on Time-Gate.
- Liaise with the Contract Management Team to fulfill any training requirements of personnel on sites.
- Send a confirmation email of any training shift requests outlining all actions taken.
General responsibilities:
- Primary point of staff contact for day to day operations
- Build positive relationships with the UCL Security Team, Duty Shift Managers, Assistant Security Manager, Account Manager and LSC Team
- Ensure all client queries and complaints are escalated to the site Security Management Team for immediate action and response
- Responsible for ensuring the contracts are manned
