Our International Security Programme is seen as a world leader on nuclear security, cyber and internet policy, space security, and arms control, amongst other areas. We have an exciting opportunity for a hardworking Programme Coordinator who will provide administrative and events coordination support to the team. The Programme Coordinator will also lead on preparing communication materials for distribution amongst our contacts, and support the publication of Journal of Cyber Policy.

Principal Responsibilities

Programme Administration

  • First point of contact for all enquiries;
  • General office duties and maintenance of office systems;
  • Direct assistance to the Project Manager and Research Director;
  • CRM database management (including ISP contacts and events);
  • Financial administration e.g. raising and processing invoices for payment, processing and filing expense claims and credit card statements, maintaining financial records;
  • Administration of GDPR processes;
  • Assisting with general project management;
  • Assistance with administration of Associate Fellowships.
Event Coordination
  • Organising and coordinating physical and virtual meeting and events, including room bookings, administration and logistical support as relevant;
  • Assistance with setting and monitoring event budgets and related contract arrangements.
Publications and Communications
  • Collating and preparing the newsletters and other communication materials;
  • Promoting ISP's research, including publications, digital outputs and event publicity;
  • Assisting with running the ISP’s social media channel (Twitter);
  • Assist with maintaining the contents of the programme’s website pages;
  • Act as Digital Representative for the programme;
  • Assist with production of publications.
Journal of Cyber Policy
  • Assisting in the production of the journal, including maintaining files and updating relevant documents (e.g list of issues, articles and authors);
  • Managing manuscript submissions using ScholarOne software;
  • Keeping contact with the publishers, authors and peer reviewers;
  • Submitting articles through iThenticate software and sending the reports to the Editor;
  • Disseminating journal copies and marketing materials to agreed recipients on publication of each issue.

Requirements

Skills and Experience

Essential:

  • Experience of coordinating and running high-level events;
  • Excellent administrative skills;
  • Excellent attention to detail with an organised approach to work, detail orientated and able to work under tight timeframes whilst balancing various tasks;
  • Outstanding written and verbal communication skills;
  • Strong interpersonal skills and the ability to build relationships internally and externally;
  • Excellent IT skills including word, excel and outlook;
  • Good general knowledge of global affairs and enthusiastic about international security.
Desirable:
  • Experience working with databases;
  • Experience of running online events;
  • Experience of working with a research institute;
  • Understanding of international security issues.
