Space Forge is transforming return from space to deliver previously impossible products and materials, for the benefit of humanity. We are developing an end-to-end service for a satellite that can be launched into orbit, manufacture new materials, return independently, then be recovered, refurbished and relaunched.
We are a fast growing startup and are moving into our first premises very soon. We’re hiring an office manager to make sure our office is a great place to work, as well as to support our busy executive team.
Primary roles for this job are:
- Making our office run smoothly, from keeping the lights on, to organising building work
- Supporting the management team with tasks like scheduling and correspondence
- Buying things we need, from staples to oscilloscopes
- Implementing and maintaining office procedures, including health and safety
Key areas of responsibility:
- Managing the diaries and schedules of senior management
- Support the exec team with payroll, HR, and potentially recruitment duties
- Greeting partners, customers and suppliers, on the phone and in person
- Communicating with board members and scheduling board meetings
- Organise and schedule office meetings
- Manage office budgets
- Implementing and maintaining procedures/office administrative systems
- Ensuring that health and safety registers are up to date
- Assisting the organisation's HR function by keeping personnel records up to date, arranging interviews and so on.
A typical day:
- Greeting a customer who has come to visit the office
- On-boarding a new employee, showing them around and making sure they’ve got everything they need
- Liaising with senior management to ensure all meeting arrangements are up to date
- Reviewing the office budget to check our office spend is on track
Requirements
The Space Forge team is deliberately made from individuals who are adaptable and willing to learn new skills quickly. Therefore we are looking for office managers who have some of the skills and experience given below, and have a demonstrated ability to learn the rest as fast as possible. Additionally as a start-up, staff are sometimes asked to assist with duties beyond their nominal job description and we are looking for candidates who are happy to step up and try something new when needed.
Soft skills:
- Great communicator, able to build relationships quickly, inside and out of the office;
- Comfortable with changing requirements - we’re a startup and often priorities will change quickly;
- Problem solver, able to be given a new task and find a way to sort it out;
- Good at balancing a workload, with lots of competing priorities;
- Persistent and hard working
Desirable experience:
- Working as an executive assistant for a startup
- Implementation of office process
- Experience of HR, payroll and health and safety policies
- Experience of office managing a hardware factory
- Experience of working with hardware engineering teams
- Experience with Slack, Asana and Gsuite as productivity tools.
Benefits
Salary expectation: 23,000 to 27,000 dependant upon experience
