Job Description

As the Global Country Operations and Admin Manager, you sit at the heart of Everledger’s business operations, responsible for the effective day to day running of Everledger’s regional offices - currently open in Brisbane and Sydney and offices in Seattle and London likely to be reopened - the administration support needs of regional leadership as well as providing global administration support.

You will be an experienced administration leader and a motivated self-starter, able to get up to speed quickly and then identify and drive initiatives forward that adds to creation and management of a productive, safe and enjoyable work environment.

In your role, you will be charged with overseeing the design and build out of scalable administration and office management processes globally to deliver a consistent quality internal service experience to staff and leadership.

This is a highly visible role that will interface with a number of key internal stakeholders and job functions. The ability to develop effective cross-functional and cross-regional working relationships with these people will be core to your success.

Key Responsibilities:

Global Administration

  • Supervising and managing administrative activities, ensuring timelines are met and a quality service experience is delivered to regional teams
  • Assist in the design and operational use of all global and local administrative tools and processes and participate in the necessary analysis, exploration and implementation of any improvements in this area
  • Troubleshoot issues with our software and toolset practices and contribute to continuous improvement initiatives to increase administrative productivity.
  • Finding creative ways to ensure the lines of communication are always open and collaboration is optimised, minimising delays caused by differing time-zones.
  • Oversee and administer operational use of all global and local shared email inboxes and calendars. Perform the necessary analysis, exploration and implementation of any improvements in this area.
  • Global travel management
  • Management of global and local insurances
  • Ensure policies and procedures for procurement and oversight of hardware in each geography are in place and well managed
  • Support systems onboarding and offboarding requests for software licence provisioning, security access and data archiving.
  • Manage hardware, software and system access support requests through to resolution.
  • Assist in routine system audits to ensure usage, access and cost compliance.
  • Author and maintain training material and operational documentation such as policies and procedures.


Office Management

  • Support Head of Information Management amp; Security in the design and deployment of global routines, processes and rhythms of work.
  • Leasing and management of landlord relationships.
  • Coordinate with building/facilities management for offices within the region to maintain office facilities inc. management of access and suppliers.
  • Ensure teams are able to replenish inventory of any required office supplies in accordance with supplier policy.
  • Communicate updates on any office related matters, ensuring awareness of security and OHamp;S policies and procedures
  • Maintain asset registers of hardware, software and associated subscriptions.
  • Support completion of all pre-start and day one tooling induction milestones in the new starter on-boarding cycle, ensuring staff have access to and knowledge of key systems and key compliance obligations are met.
  • Ensure the region is applying necessary security practices to implement effective governance, compliance and risk management and support the enhancement of any global practices including ISO27001 to improve overall performance in this area.
  • Support the development and adoption of regional and global cultural practices and people experiences.
  • Work with global office support staff and / or regional heads to deliver an aligned and consistent office experience and operational ways of working that are scalable.
