About the role

The Operations Analyst role is a unique and rare opportunity to be at the heart of executing an exciting and ambitious growth strategy at a SaaS business.

This role underpins a pivotal part of our client journey and provides the foundation for our sales and operational processes. The Operations analyst will give active support across the Lead to Cash journey, focusing on improving operational processes and systems in line with our business growth curve.

The role offers the opportunity to work across various projects and grow meaningful relationships with multiple stakeholders across the business.

Key responsibilities

Case Management

  • Provide 1st Line support for core business systems, including SFDC and Kimble
  • Ensure end-user cases are acted upon in line with team and functional objectives, and end-users receive the appropriate level of support and communication in line with the agreed OLA.'

Business Process Improvement amp; Documentation

  • Build a deep understanding of our operational processes and create technical documentation and data flows between critical business systems.
  • Show a willingness to educate the broader business on how the functions and processes operate.
  • Provide a constant feedback loop into the operations management team, highlighting areas of process and system improvement based on 1st line cases
  • Ensure quality communication between internal stakeholders and the operations team including taking the lead on quarterly Newsletters and updating shared content.

Professional Services Engagement Support

  • Ensure all active projects within the portfolio are being reported on by Project Leads
  • Present requirements at resourcing meetings
  • Follow up actions and communicate outcomes to key stakeholders
  • Ensure all system/process changes have accompanying documentation for training and Go Live to the broader organisation
  • Be able to facilitate workshops and meetings to resolve any issues and engage decision-makers

Lead to Order Process Support

  • Maintain complete knowledge of the lead to order process in both the SalesForce platform
  • Work with the finance and support team to manage the OrgVue tenant setup process to ensure that all new requests from clients are processed promptly.
  • Assist in creating new methods for all tenant creation amp; extensions through internal systems, providing a clear audit trail for all users.

Requirements

Knowledge

  • Proven knowledge of end to end operational processes, including supporting scaling businesses
  • Exposure to Professional Services Automation solutions, using timesheet and managing project engagements
  • Exhibits client-focused behaviours and the ability to communicate in a professional and consistent manner

Experience

  • A minimum of a bachelor's degree OR at least two year's operational experience in a similar role amp; organisation
  • Previous business administration support and expertise in a salesforce environment would be advantageous
  • Experience of working alongside a sales community and having the ability to push back and challenge destructive behaviours
  • Ability to work with a variety of professionals and staff at all levels in complex stakeholder environments
  • Calm and methodical under pressure; flexibility and capacity to prioritise own workload

Skills

  • Salesforce knowledge (particularly SalesCloud, CPQ)
  • Professional Service Automation tools (particularly Kimble)
  • LeadGen Tool exposure (particularly HubSpot)
  • Excellent command of written and spoken English
  • Proficient user of the Microsoft Office suite
