Facilities Project Manager

Location: Voyager House, Manchester M90 3DP

Central Functions is formed of the teams and people that serve the entire business. These people are integral to the smooth running of the business; ensuring everyone is paid on time, that materials are sourced and arrive promptly, that we meet our legal obligations and that our health, safety, and security is safeguarded.

The Facilities team is responsible for maintaining all THG sites, ensuring that all colleagues and visitors are in a clean, safe environment while on site.

The role will be based at Manchester Airport at our head office and will be expected to travel to other sites to collaborate with contractors and THG staff members regarding potential works. The FPM will work closely with our national FM team, contractors and project stakeholders to prepare, communicate, deliver and report on the small and cyclical works. The post holder is expected to work proactively and collaboratively alongside other team members. Therefore the ability to work as part of a team and get on with people you work with is essential.

The role will work in partnership with the Senior Workplace Strategy Manager to scope, design and deliver the small project works solutions for works of a value between 10k and 250k.

Responsibilities

  • Liaise with senior key stakeholders on sometimes complex, project arrangements and logistics.
  • Managing service contract documentation including preparation of new task orders and management of existing documentation.
  • Work in conjunction with the Senior Workplace Strategy Manager to provide the small works management service across THG.
  • Monitor and coordinate the preparation of annual term services contract budgets.
  • Arrange and coordinate programmed contract works.
  • Issue task orders, contract instructions and process payments and invoices.
  • Arrange, plan and coordinate term service contract delivery on site.
  • Maintain term service contract expenditure records.
  • Conduct regular contract performance meetings.
  • Maintain term service contractor’s performance reports.
  • Assist in managing the term service contract renewal and tender process through to final contract placement.
  • Collect, collate, store and distribute all statutory documentation and certification.
  • Prepare reports, manage contract programmes, contract details and contacts using the department’s report templates, guidelines and procedures.
  • Consider ways in which new methods of working may be employed to improve timeliness and efficiency and reduce the risk to projects.
  • Manage the preparation of an appropriate project brief including cost, programme and scope for sign off by the internal stakeholders.
  • Where necessary, manage the decant process for projects through appropriate communication, planning and co-ordination with adjacent departments.
  • Manage the development and application of key project related strategic energy, sustainability and environmental awareness practices through appropriate communication, planning and co-ordination adjacent departments.
  • Provide departmental technical and co-ordination support to other departmental professional service and academic staff as appropriate.
