Job Description

As the Bid Coordinator in Health Hero’s governing body division, you will support the NHS Bid Team in delivering a demanding tender workload. The role requires strong project and time management, research and organisational skills. Working under pressure and to challenging deadlines, the Bid Coordinator must demonstrate a disciplined and structured approach to work planning and task prioritisation.

Bid amp; Proposal Coordination

The Bid Coordinator contributes towards the production and submission of Bids/Proposals (e.g. RFI, ITT, RFP) to compete for NHS/Commercial opportunities across the UK. They will support the Head of Bids and Bid Team members in co-ordinating all activities and contributors to the bid process, ensuring all deadlines are communicated, understood and met.

The Bid Coordinator is responsible, with oversight from the Head of Bids, for the quality of all aspects of the bid, including written documentation and presentations; ensuring bid documentation is complete, clear, concise and compelling. You will carry out detailed research into various areas relevant to each bid to contribute to the overall bid strategy and enhance the quality of submissions. As Bid Coordinator you will contribute to continuous improvement of bids and our bid processes, suggesting changes in approach where appropriate.

Core Bid amp; Proposal Coordination Responsibilities/Activities:

  • Ensure identification and notification of all relevant Bid/Proposal opportunities, e.g. through research/monitoring of portals and frameworks
  • Ensure the Bid Process is applied and followed appropriately, arranging required meetings and issuing supporting documentation throughout the bid lifecycle
  • Undertake detailed research into areas related to each project, e.g. local demographics, requirements and desired outcomes
  • Monitor input from internal and external experts/knowledge holders (typically involving contributions from sales, marketing, product, finance, commercial, legal, technology and operations), ensuring all deadlines are adhered to
  • Contribute to the written proposal - both in terms of content and presentation specifically managing appendices and supplementary material included in bids
  • Support the Head of Bids to ensure timely delivery of compliant and complete bids
  • Administer portals and frameworks, uploading responses and documents
  • Carry out feedback analysis after every Bid/Proposal outcome
  • Support the Head of Bids in tracking Bid/Proposal results, maintaining accurate and up to date records
  • Support post bid debrief process, ensuring lessons learned are collated and applied to future bids appropriately
  • Support Head of Bids to shape future opportunities and provide input into NHS online consultation system
  • Support wider Sales team in Bid/Proposal activities as required
  • Support Head of Bids in preparing tender presentations as required

Requirements
