HR and Office Assistant

Flexible, Hybrid working (Commutable to Bristol)

24-26k (pro rata 20 hours a week)

The Role

We are recruiting for a HR and Office Assistant to report into our People and Culture Manager. Our HR and Office Assistant will be at the beating heart of the business, making sure things run smoothly from an office management and HR administration perspective. You will be a huge support for our Swoopers who will be able to lean on the HR and Office Assistant for a wide range of queries, from setting up work equipment to supporting managers to onboard their new staff member. Every day will be different and in this fast-paced environment you will get plenty of opportunity to develop and grow within Swoop. Responsibilities would include:

  • Supporting the People and Culture Manager with our day-to-day HR/Recruitment activity, business operations and ad hoc queries.
  • Assisting with HR administration inclusive of employee lifecycle support including recruitment, offer letters and contracts, onboarding and offboarding
  • Collating and managing existing HR records and maintain accurate and up to date employee data in line with company requirements.
  • Supporting the Togetherness Team (our dedicated social and culture team) to create social events for Swoop year round.
  • Arranging internal and external meetings, room/venue bookings and facilitating virtual meetings using various online platforms.
  • Supporting with organising HR-related events, training programs and workshops.
  • Working with our third party IT providers to ensure that staff have working equipment.

  • Experience of administration
  • Excellent interpersonal, verbal and written communication skills
  • Highly organised with excellent time management skills
  • Resourceful, can-do attitude and accountable
  • Understands how to handle, resolve and escalate enquiries.
  • High level of attention to detail and the ability to work under pressure and to deadlines, using own initiative
  • The ability quickly to learn new systems, we use Microsoft Word, Excel and Gmail/ GoogleDocs. Previous experience of using these systems is highly desirable.
  • A self-starter happy working autonomously as well as part of a team

Role Details

  • Part time - we are looking for somebody that can work 20 to 30 hours per week, exact hours can be agreed on appointment. We are fully flexible on the hours and days worked, provided they are Monday to Friday.
  • The role is hybrid working, with a mix of working from home and working from our Bristol office. Exact working from home arrangements can be agreed on appointment.
