The Team

This PA role is stand alone in nature but sits within the People team, reporting into the Chief People Officer. The People team, led by our CPO, includes a Talent Acquisition Lead and People Advisor, as well as our Head of IT. We support our ever growing number of Swytch employees (currently at 70 heads and counting). We are there to make sure our teams are successful and driven to deliver and develop!

The Role

As the Team PA at Swytch Technology, you will take responsibility for administrative support across our C-suite including our CEO, CTO, CPO, CManufacturingO, CFO and CMO. You will also be involved in office management/admin, ad-hoc projects and supporting on People activities where required. It’s an exciting, busy and varied role.

We are looking for a self driven, organised, technologically savvy, efficient and positive individual that can integrate across our senior leadership team, to drive efficiency across key people and projects at Swytch.

Responsibilities

C Suite Support

  • Supporting our CEO, CTO, CmanO and CPO with diary and email management, key projects, research tasks, and any general support tasks.
  • Project coordination, mainly supporting the CEO, CTO and CPO in projects. Often taking ownership of key business improvement projects.
  • Sense, grammar and spelling checking key documents/presentations
  • Coordinating key departmental meetings; booking meeting rooms, and taking minutes where relevant. Including arranging and attending board and management meetings.
  • Investor and Chair liaison, board pack preparations, board meeting minute taking, any ad hoc tasks in relation to our investors required by the CEO or Chairperson.

People Team Support

  • Onboarding of new starters, setting up induction meetings to ensure every new starter has a great first experience of Swytch!
  • Manage Swytch EAP, Life Insurance and Mental Health First Aid suppliers. Supporting our team members with their benefits and providing insight across the business of each benefit.
  • Assisting with planning, booking and execution of Swytch whole company, in-person events twice a year.
  • Facilities assistant and office management
  • Plus wider tasks that may arise outside of the above.
  • Become an expert in our People tech platforms

Wider Susiness Support

  • Organising any travel and accommodation for the business
  • Liaising with service team to provide physical office needs
  • Involvement in organising social events, graduate days, team or all-company meetings
  • Office or rental contracts including lease, cleaners, cost tracking

Requirements

Requirements

  • Prior experience as a Senior Team Secretary / Personal Assistant to Leadership levels in a business setting.
  • Extensive experience in diary and calendar management.
  • Excellent written and verbal communication skills.
  • Great team player, able to align with Swytch values driven by the People Team.
  • Able to multi-task, work autonomously and prioritise own and others workload.
  • Comfortable supporting on new projects driven by senior leadership.
  • Excellent minute taking.
  • Well organised and excellent attention to detail.
  • Advanced IT Skills and generally tech ‘savvy’, happy to learn new platforms.
  • You may have also worked in a scaling startup environment before.
