We have an exciting opportunity for an organised, professional Administrator with excellent attention to detail. As an Administrator in our Property team you will be responsible for providing administrative support to the Property Department Helpdesk to ensure a quality reactive and planned building maintenance service is supplied to all Belong villages
As the Administrator you will use your knowledge and skills to provide excellent and accurate efficient administration, keeping track of inviocing, ordering and work sheets. You will use your expertise to support the Villages and the wider organisation; answering queries, and supporting the team to ensure that work is completed in a timely manner.
Hybrid working is available for this role, being able to split your time between working from our central office and working from home.
Working hours - Monday through Friday (30 hpw)
Rate of pay - 11.05 per hour

Requirements
Provide administrative support to the Property Department Helpdesk to ensure a quality reactive and planned building maintenance service is supplied to all Belong villages
Maintain efficient ordering and invoicing systems
Liaise between villages and contractors by email and telephone to resolve queries and generate work orders
Assist the Property Department with the management of service and repair documentation
SUPPORTING RESPONSIBILITIES
Provide Day to day correspondence/administration via email and telephone to the villages
Ensure contractors complete work in a reasonable time and query delays, where necessary
Keeping the villages and colleagues up to date using in-house database
Raise orders and track compliance work to guarantee compliance, ensuring certification is up-to-date
Process all invoices, ensure invoice calculations are correct and query anomalies with the contractor/supplier
Updating and maintaining spreadsheets
Maintain system information documentation, reports and certification, ensuring accessibility to all the Villages
Arrange quotations in accordance with set procedures, where necessary
Provide information for other Departments, where necessary e.g. Financial Updates
Respond to and action reports as required from external agencies (Fire / Water etc)
Oversee and update internal audits e.g. Water Risk Assessments / Caretaker Checklist
Ad hoc administration duties
Ability to work in a support role and on own initiativ
