A quick look at the role.

To deliver exceptional administrative support for the Depot ensuring all duties are carried out in accordance with Company procedures. To manage the administrative team through effective leadership and training/development. To manage compliance responsibilities set within Company guidelines ensuring all targets are achieved. To provide accurate and timely financial data to the Senior Business Manager

Lead the Depot administrative team to manage and complete all administrative tasks within contractually required SLAs.

Ensure timely input of all purchase order tasks, resolving all QLS logs in an effective and timely manner.

Management of all paper and computer based filing systems, including archiving systems, to ensure fulfilment of Company compliance and legal requirements.

Keep accurate records of revenue and expenditure at the Depot, inclusive of conducting financial reporting on revenue and expenditure for the Depot to be submitted as required

Coach and develop administrative team members to develop a multifunctional team including management of holidays to ensure cover available as needed for operational requirements

Delivery of company Health and Safety standards, working with other teams within the depot as required to deliver. Report on progress to the BSM/ Senior Ops manager/ depot meetings as needed

Take minutes of meetings as required

Provide weekly compliance reports to management team as directed.

Deliver admin compliance related reports/statistics at management meetings as required.

Liaise with Client officers as required to provide information for contractual needs

Assist management team in absence control management for all Depot employees, including data input from return to work interviews and production of weekly absence management reports.

Invoice client and all customers on time and accurately

Management of wages input process and production of weekly wages report.

Management of Depot’s petty cash.

Carry out any other such reasonable job related tasks as the Company may require you to undertake from time to time to ensure the smooth running of a large municipal depot.

Requirements

Here’s what we require:

  • Minimum GCSE or equivalent in Maths amp; English
  • Minimum 3 years administrative experience
  • Minimum 1 years’ experience supervising an administrative team
  • Report analysis
  • Invoicing
  • Experience of managing payroll input and reporting systems
  • Proven track record of working to clearly defined service delivery KPI’s
  • Proven track record of delivering continuous improvement within an operational / service environment
  • Experience of producing and analysing reports using Microsoft Office Suite and internal IT systems
  • Experience of setting up and managing complex paper based and computerised filing systems
  • Knowledge and understanding of the requirements of working within a time critical service environment
  • IT literate comfortable using business software and systems and Microsoft Office Suite
  • Ability to influence and persuade people
  • Interpersonal skills /assertiveness
  • Excellent time management skills and ability to work to tight deadlines
  • Organised with the ability to simplify complex issues
  • Analytical with the ability to measure amp; monitor data and take appropriate corrective action
  • Able to able to communicate at all levels, both in verbal amp; written form.
