Job Description

As the Donor Events Officer you will work with senior Chatham House colleagues and high-level external partners, including some of the institute’s most generous donors to generate insight into international affairs.

The role is vital to the management of individual donors and corporate sponsors of the Institute.

Chatham House's individual donors and corporate sponsors are senior figures from the business and financial worlds alongside transformational leaders and senior policy makers. The role holder will be instrumental in organising events for these top-tier members. Events include in-person, onsite briefings and dinners, as well as off-site overnight retreats. All events are held under the Chatham House Rule to allow for discussion and practical sessions exploring how best to navigate the current period of instability in international affairs.

Principal Responsibilities

Strategy

  • Design engaging agendas and secure outstanding speakers and moderators for the events, collaborating closely with high-level partners both within and beyond Chatham House
  • Generate and develop a balanced programme of events for major donors and corporate members, with support from the Head of Member Events
  • Plan, craft and deliver events for the Chairman’s Circle, other donor circles, and corporate members from end-to-end

People

  • Drive positive relationships with internal and external partners, including other External Relations teams, research programmes, the Director’s office and volunteers;
  • Work with the Donor and Corporate Relations teams to develop an understanding of the supporter community and ensure that the events' programme supports deepening engagement with these groups
  • Liaise with senior staff and leadership at Chatham House and High Net Worth Individuals and Corporate Board members, delivering first class customer care and support
  • Liaise with the Director, Chairman’s office and senior research colleagues as appropriate to draft agendas and prepare briefings for major donor and corporate events
  • Lead pre and post event meetings with senior external relations staff
  • Work with other members of the team to help convene other high-level events on topical issues of importance

Delivery

  • Dealing with guest, supplier and internal team members’ queries in the run up to and after the delivery of events
  • Attend the events and take ownership for being the key logistical contact for Chatham House on-site, being prepared to troubleshoot issues professionally and at short notice
  • Taking a lead on logistical arrangements for team events, crafting and refining process checklists, drafting template event invitations and monitoring donor event attendance.
  • Ensure that travel arrangements for speakers, moderators and Chatham House staff are made in a timely and efficient manner
  • For events that have delivery costs, supervise budgets to ensure expenditure is in line with projections for each event
  • Become proficient at the CRM and ensure compliance with Data Protections
  • Tackle other tasks as required by the Head of Member Events

Requirements

Essential Qualities

  • Experience in event organisation, including online/virtual events;
  • Strong administrative, diplomatic, and organisational skills
  • A high level of creativity, accuracy and attention to detail in developing events
  • Budget administration and tracking
  • Generate engaging event ideas appropriate for donor and corporate audiences
  • Excellent interpersonal, relationship building and communication skills (written and oral)
  • Ability to work as part of team and with individuals at all levels displaying tact, sensitivity and diplomacy at all times
  • Ability to prioritize, juggle different projects and to work quickly and accurately under pressure
  • Computer proficient with Microsoft Office suite
Desirable Qualities
  • A curiosity about international affairs
  • Experience of dealing with event management and CRM databases
Experience
  • Solid experience working on high-level events, either paid or unpaid
