Job Description

Reports to Finance Processing and Systems, Senior Manager

Job Summary

The Accounts Payable Assistant will be working with our accounting department to overseeing our organization’s expenses. Accounts Payable Assistant will be responsible for processing payments, verifying invoices and performing account reconciliations as needed. The ideal candidate will work with our accounting team to ensure our organization’s expenditures are accurate and our accounting practices are standardized across the organization.

Essential Duties amp; Responsibilities

  • Assembling, reviewing and verifying invoices and check requests
  • Flagging and clarifying any unusual or questionable invoice items or prices
  • Sorting, coding and matching invoices to payment
  • Setting up invoices for accounts payable
  • Entering and uploading invoices into the system
  • Tracking expenses and processing expense reports
  • Preparing and processing electronic transfers and payments
  • Posting transactions to journals, ledgers, and other records
  • Reconciling accounts payable transactions
  • Preparing analysis of accounts
  • Monitoring accounts to ensure payments are up to date
  • Researching and resolving invoice discrepancies and issues
  • Maintaining vendor files
  • Corresponding with vendors and responding to inquiries
  • Assisting with month-end closing
  • Providing supporting documentation for audits
  • Maintaining records for historical data purposes
  • Maintaining confidentiality of proprietary information

Experience, Skills, and Qualifications

  • Experience working in finance, accounts payable
  • Knowledge of general accounting procedures
  • Solid years of accounts payable or general accounting experience
  • Good working knowledge of MS365 including Excel
  • Excellent attention to detail and accuracy with great time management and prioritisation skills
  • Confidentiality and good judgment skills
  • Vendor relationship and information management skills
  • Ability to problem-solve, report and analyse
  • Professional integrity and teamwork mentality
  • Strong communication skills both verbal and in writing
  • Proactive, efficient, and responsive to shifting priorities when required
